Who handles your information

Motor Traders NZ Limited, trading as Motor Traders, operates this website. Our yard is at 35 Noel Burnside Road, Wiri, Auckland 2025, New Zealand. Our team handles privacy requests and monthly retention reviews. Email sales@motortraders.co.nz for privacy questions, complaints, or access and correction requests.

Your enquiry

We collect the name, mobile number and any email or message you supply so we can respond and manage your enquiry. Depending on the service, we also collect your selected vehicle, preferred test-drive time, or vehicle details and photos for a valuation. Required fields are marked. Without them, we may be unable to accept the online request; you can contact the yard directly.

Sending an enquiry does not subscribe you to marketing or require optional tracking. Finance applications use a separate Penny/provider process and its collection notices. Finance information is excluded from the website advertising integration.

Website and enquiry providers

Vercel hosts the website and Cloudflare provides domain services. Supabase stores accepted website enquiries and private uploads. Resend sends the enquiry notification to our sales inbox, which uses Google Workspace. The site also attempts delivery of relevant enquiries and attachments to the Autostock dealer system where configured.

Dealer staff handling your enquiry and technical providers supporting these services may process the information required for their work. Cloud services may process information outside New Zealand. Contact us if you would like details about the handling of your particular records.

Optional email updates

Optional email signup is currently inactive. The prepared process uses an unticked, optional choice that lets you request emails about Motor Traders vehicles and future buying, selling or trade-in opportunities. We ask you to confirm your email address before updates begin. This is separate from your enquiry and from Measurement or Advertising tracking choices. It does not subscribe you to SMS.

The separate email record holds your email address, consent version, request/confirmation dates, status and expiry. It excludes enquiry messages, phone numbers, finance data, valuation details and files. Unconfirmed links expire after 48 hours; pending records have a seven-day storage limit. Confirmed contacts have a maximum 36-calendar-month period from confirmation, with earlier removal when no longer needed. Sending or opening an email does not renew it. Use the unsubscribe link in our emails, or contact sales@motortraders.co.nz.

Unsubscribe stops further marketing and clears the usable email from the website marketing record. A limited protected identifier and consent evidence can remain until that record's existing expiry to honour the choice and document consent; they are still personal information. A fresh signup needs fresh confirmation. We do not automatically subscribe past enquirers or upload this list to Meta.

Website choices and tracking

Essential storage supports functions such as remembering your tracking choices and vehicle shortlist. A Google map loads when you choose Load map. External social, map and finance services have their own privacy notices.

Measurement is optional Google Analytics. The site-controlled payload excludes contact details, enquiry messages, files and raw search text. Reviewed fixed campaign labels can identify the channel. Reject optional tracking or reopen Tracking settings in the footer to change your browser's choices.

Meta advertising tracking is currently disabled. The prepared integration would require a separate Advertising choice and enabled settings. Eligible public-page/vehicle-interest signals and accepted non-finance enquiry conversions could be sent to Meta. Automatic form-value collection is disabled; names, messages, files, registration and finance fields are excluded from the conversion payload.

For eligible Meta ad landings, the prepared server integration can hold an ad-click identifier in a protected session cookie after consent, accepting it for at most 24 hours from first consented capture. The same click does not renew that window within a consent period. The identifier is not added to Google Analytics. Meta conversions can include approved browser identifiers and normalised email/phone hashed with SHA-256; hashing does not make them anonymous. The prepared server payload excludes IP address, while browser connections to Meta can reveal network/device information.

Revoking Advertising stops future site-controlled capture/sharing and requests removal of advertising cookies. It cannot recall events already received by a provider. Website cookie limits do not set Meta's retention period. Our optional email choice is independent of this tracking choice.

Retention and deletion

Our adopted schedule deletes or irreversibly anonymises closed enquiries that do not become a sale 12 months after the last meaningful customer contact. Valuation photos and enquiry uploads are deleted 90 days after closure. Necessary sale, accounting, warranty or dispute records may be retained longer for their documented lawful purpose. Those exceptions do not extend all enquiry or marketing records.

Deletion must cover website records, email attachments and dealer-system copies. Backups can have different retention and restoration arrangements from active records. We do not promise immediate erasure from every provider backup. Contact us about deletion of information that is no longer needed or to understand how the schedule applies to your records.

Access, correction and concerns

You can ask sales@motortraders.co.nz for access to your personal information or correction of information that is wrong, incomplete or misleading. We may need proportionate information to verify your identity and locate your records. We will consider requests under the Privacy Act 2020, including applicable grounds for withholding information. Raise concerns with us first; you can also complain to the New Zealand Office of the Privacy Commissioner.

We update this notice when our collection, providers or optional tracking practices materially change. The publication date is shown with the released notice.
